Meeting Notes [1-15-2008]

Here are notes from yesterday's meeting. We'll meet again just before the fair, Feb 11 @ 4 pm.

1. Signs - Please get your final titles to Hillary by this Friday, January 18th (if you haven't already). If you don't, then your sign will read what is below. Once again, it would be nice if you came up with a creative, yet descriptive title.

2. Layout & Tables - Tables have been ordered and will arrive on Friday afternoon. Layout is being finalized. Any changes or last minute requests should be directed to Tim & Karen ASAP.

3. Publicity has gone out. Flyers were sent to schools in Dane county and press releases to local media.

4. Stations - please contact us if you need help with construction or funding. The sooner the better.

5. Recruiting - we will need help on the day of (and day before) with set up, clean up, in the museum, and selling t-shirts/raffle. See attached sign up sheet. A sign up sheet will hang on the TA bulletin board outside the main office. Food will be available for volunteers.

6. Evaluation - we decided to hold a raffle for a Physics Prize Pack (t-shirt, posters, etc.) if people fill out a survey form. This will also give the t-shirt people something to do if the sales are not so brisk.

7. Other issues -
-Parking information will be added to the website.
-Do we need a handout for visitors to guide them through the fair?
-We should take pictures to document the event and use for publicity next year. We have several volunteers who offered to take pictures, anyone else with a camera is also welcome to do so. I don't think we can have too many pictures!
-Posters can be printed on the plasma printer. Let us know ASAP if you need help doing this. The poster-hanging stands are 8' wide, so you have plenty of space. The printer can print up to 3' wide.
-Tours will leave at predetermined times, tour guides can decide on intervals and group size. Hillary had the brilliant idea to get a white board on which we can write what time the next tour will be leaving.
